Your Role
Join Vinnies NSW in a pivotal Executive Assistant role supporting our Chief Financial Officer who is also the Executive Director, Enabling Services. This is a highly trusted position at the centre of key organisational functions including Finance, Governance, Risk and Safeguarding, ICT, Legal, Procurement, Fleet, and Property. You'll provide sophisticated executive support while coordinating governance activities, Board and Committee processes, leadership initiatives, and strategic priorities that help ensure the Society operates effectively, responsibly and in line with its mission. This role is ideal for an experienced people orientated Executive Assistant who thrives in complex environments where professionalism, discretion, governance excellence and attention to detail are critical.

Your Responsibility

Provide high level executive support to the Chief Financial Officer / Executive Director, Enabling Services, including diary, email and travel management.

Provide secretariat support to key governance committees, including the Audit, Risk and Finance Committee and Governance and Nominations Committee.

Coordinate meetings, agendas, minutes and action tracking for working groups including Modern Slavery and Sustainability initiatives.

Manage the preparation, collation and distribution of Board, Committee and leadership papers, including administration through Diligent for the Enabling Services Directorate.

Support the coordination and follow-through of executive priorities, commitments and leadership team initiatives.

Facilitate onboarding activities for new Enabling Services Leadership Team members.

Support procurement contract execution processes and executive expense management.

Arrange team events, catering, travel and accommodation bookings for the broader Enabling Services team.

Build strong relationships with Board members, Committee members, Executive Assistants and senior stakeholders across the organisation.

Contribute to effective risk management, governance compliance and workplace health and safety practices.
You Will Need

Great people skills as an integral member of the Enabling Services Leadership Team

Proven experience supporting senior executives, ideally at C-suite level, within a complex corporate or NFP environment.
- Demonstrated experience providing governance and secretariat support to Boards, Committees or senior leadership forums.

Strong understanding of governance, compliance, risk management or finance related environments.
- Exceptional organisational skills with the ability to manage competing priorities and deadlines.
- Advanced diary management, planning and coordination skills.

Experienced in minute taking, with the ability to capture key discussions, decisions and actions accurately.

Proficiency across Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.

Excellent written and verbal communication skills with the ability to engage professionally with stakeholders at all levels.

Demonstrated discretion, sound judgement and the ability to manage highly confidential information.

Certificate IV in Business Administration or a related qualification.

Minimum 5 years' work experience in an EA role.

Experience working within a membership-based, governance focused or community services organisation.
